Reports to President & CEO

 

Position Summary

This position supports the President & CEO with administrative responsibilities and corporate governance of Wellesley Bancorp. This position will also support administrative duties of the Executive Office.

 

Duties & Responsibilities

  • Represent the President & CEO by welcoming visitors, reviewing correspondence, arranging corporate functions including the Annual Meeting, and answering questions and meeting requests directed to the President & CEO.
  • Facilitate all Board and Committee meetings including preparing communications, minutes, presentations, and other documents.
  • Serve as a liaison to the Board of Directors.
  • Maintain and circulate multiple internal calendars.
  • Maintain corporate governance materials, including charters and policies.
  • Prepare memos, correspondence, spreadsheets, and presentations.
  • File, maintain, and retrieve documents and reference materials.
  • Complete reoccurring filings and ensure filings are made in a timely manner as required by the applicable regulatory institutions, including those pertaining to Regulation O and insider trading.
  • Maintain the company investor relations website.
  • Maintain administrative policies and procedures.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

Qualifications

  • Ideal candidate has four to six years of experience, banking, public company or law firm experience preferred
  • Bachelor's Degree Desired
  • Ability to work well with all levels of internal management and employees, outside clients and vendors
  • Requires strong computer and Internet research skills including in-depth knowledge of the MS Office Suite
  • Sensitivity to confidential matters required
  • Attention to detail
  • Organization and time management skills
  • Flexibility, excellent interpersonal skills, project coordination experience
  • Knowledge of standard office administrative practices and procedures
